How to Read This Matrix

Not all CRM integrations are created equal. Here’s what each symbol means — and why it matters for your team’s data quality:

  • ✅ Native — Direct API connection built by the vendor. Data flows automatically, in real time, with no third-party dependency.
  • ⚠️ Partial — A native connection exists, but it only pushes a note or summary to the CRM timeline. It does not populate structured deal or contact fields.
  • 🔄 Zapier — No direct API. Data moves via a third-party automation platform, adding latency (typically 2–15 minutes), extra cost ($19.99+/month for Zapier), and an additional failure point.
  • — No integration available (native or via automation tools).

“Auto-fills fields” means the AI tool writes structured data into specific CRM fields — deal stage, contact properties, MEDDIC scores, etc. — not just appends a text note. This is the difference that RevOps teams care about. A note in the timeline is useful; a populated deal field drives pipeline visibility and reporting.

When a plan tier is required to unlock an integration, we note it in parentheses: e.g., “✅ Native (Business).”

The Integration Matrix

Last verified: March 2026. We update this table whenever a tool announces integration changes — see update history at the bottom.

Note on Close CRM: We reviewed Close CRM support across all tools covered. None offer a verified native integration at the time of writing — Close is primarily reachable via Zapier for all tools in this matrix. Close users should factor in Zapier costs and latency when evaluating options.

What the Data Means for Your Team

The matrix reveals a clear split in the market: tools built for revenue teams (Avoma, Fireflies.ai) prioritize breadth of CRM coverage, while tools built for general productivity (Fathom, Grain) go deep on one or two CRMs with stronger data quality.

Avoma has the deepest native CRM footprint at entry-level pricing, covering HubSpot, Salesforce, Pipedrive, and Zoho natively from its $19/month Startup plan. If your team switches CRMs or operates in a multi-CRM environment, Avoma’s breadth is unmatched at this price point.

Grain offers the most accessible HubSpot integration — available on the free plan, and it’s the only tool in the matrix that pushes structured deal fields (SPICED framework) rather than plain notes. For HubSpot-centric sales teams, this is a meaningful differentiator.

Fathom’s “Field sync” feature (Business plan) is the standout for Salesforce teams who need true structured field mapping, but Pipedrive and Zoho users will need Zapier — which adds latency and cost to every meeting workflow.

Fireflies.ai offers the widest native CRM coverage at the lowest price point ($10/month Pro), making it the default choice for budget-conscious teams who need Pipedrive or Zoho support without Zapier overhead.

Teams relying on Zapier bridges for critical CRM data should factor in the real costs: Zapier’s Teams plan starts at $19.99/month, adds 2–15 minute data delays, and creates a dependency that breaks when Zapier experiences downtime or authentication lapses. For high-volume sales teams logging 20+ calls per week, native always wins. See our primary recommendation page for AI notetakers for sales teams for full evaluations.

CRM-Specific Notes

HubSpot

HubSpot is the best-supported CRM across this matrix — every tool covers it, and Grain even supports it on the free tier. The important distinction for HubSpot teams is between “timeline notes” (most tools) and “structured property updates” (Fathom Business, Grain with SPICED). If your team relies on HubSpot deal properties for pipeline reporting, verify that your chosen tool populates properties — not just creates activity notes. For a full breakdown of HubSpot-specific features and setup, see our AI meeting assistant HubSpot integration guide.

Salesforce

Salesforce support is strong across Avoma, Fireflies.ai, Fathom, Otter.ai, and tl;dv — all native. Grain’s Salesforce integration is native but locked to Enterprise plan, making it less practical for mid-market teams. Note that Salesforce editions matter: some integrations require Professional or Enterprise edition APIs; verify your Salesforce tier supports API access before committing to any tool.

Pipedrive

Pipedrive is the mid-market sweet spot. Avoma, Fireflies.ai, and tl;dv all support it natively. Fathom and Grain do not — Pipedrive users on those tools will need Zapier, which undermines the real-time sync value. If Pipedrive is your CRM, Fireflies.ai (Pro, $10/month) is the most cost-effective native option.

Close CRM

Close CRM is primarily reachable via Zapier across all tools in this matrix. No native integrations were verified at time of writing. If Close is your CRM, budget for a Zapier Teams subscription and build your workflow accordingly. Alternatively, evaluate tools with strong Zapier templates for Close CRM.

Slack Routing

All major tools support native Slack integration. The real differentiation is in routing rules: which calls get sent, to which channels, and with how much context. Avoma, Grain, and Fireflies.ai offer the most configurable Slack routing. If Slack-first async review is a core workflow, test routing configurations during your trial period — not all Slack integrations are equally configurable.

What “Auto-fills Fields” Actually Means

RevOps teams often ask whether a tool “integrates with CRM” and get a “yes” — then discover the integration only creates a text note in the activity timeline. Here’s the actual hierarchy:

  1. Activity note — The AI pushes a text summary as an activity/note on the contact or deal record. This is what most tools do at the Partial level. It’s searchable and better than nothing, but it doesn’t update pipeline reporting or forecast data.
  2. Structured field population — The AI writes values into specific CRM properties: deal stage, custom scoring fields, MEDDIC or SPICED attributes, next steps as tasks. This is what Fathom (Business) and Grain (for HubSpot) do. Pipeline dashboards and forecast calls can now pull from these fields automatically.
  3. Workflow automation triggers — The field updates trigger downstream CRM automations: deal stage changes, sequence enrollment, alert firing. This is the full RevOps integration and typically requires custom configuration on top of the AI tool’s native sync.

When evaluating any tool in this matrix, ask specifically: “Does it write to custom properties, or does it only create timeline notes?” The answer determines whether your CRM data stays clean or becomes a graveyard of text blobs. For customer success teams specifically, see our AI notetaker for customer success teams guide.

Update History

  • March 2026 — Initial publication. All data verified from vendor pricing pages and CRM app marketplaces (fireflies.ai, fathom.ai, tldv.io, otter.ai, avoma.com, grain.com). Native vs. Zapier-required status confirmed at time of writing. Close CRM column omitted — no native integrations verified across tools reviewed.

Which Tool Should You Choose?

Match your CRM to the right tool and you eliminate Zapier entirely:

  • HubSpot team on a budget?Grain is the only tool with a free native HubSpot integration that populates structured deal fields. Hard to beat at $0.
  • HubSpot team needing more features?tl;dv or Avoma. Both offer native HubSpot with strong note-taking and coaching features on top.
  • Salesforce team?Avoma or Fireflies.ai. Both are native from entry-level paid plans. Avoma goes deeper on conversation intelligence if your team needs coaching features alongside CRM sync.
  • Pipedrive team?Fireflies.ai at $10/month is the most cost-effective native Pipedrive option.
  • Budget-first, needs wide CRM coverage? → Fireflies.ai Pro covers HubSpot, Salesforce, Pipedrive, and Zoho natively for $10/month — the best native-CRM-per-dollar ratio in the market.
